As a Client Services Coordinator, you will provide general administrative support to an office or a group of sales professionals. You'll be responsible for preparing leasing documents, proposal, presentation, and communication materials. You will also coordinate the distribution of internal and external marketing information.

What you'll do

Organize the preparation and production of customized, client-specific property information packages in response to Requests for Information (RFIs) and Requests for Proposals (RFPs).

Gather supporting documentation to complete voucher forms and process Brokers' commission payments, ensuring compliance with company accounting policies and local/national laws.

Track leasing deals from prospect to opening, including prospect tracking, creating LOIs, deal write-ups/submissions, committee calls, follow-up, tracking with legal, and sending fee calculations for vouchering.

Coordinate with leasing teams, internal departments, and clients to provide information for calls and meetings, such as real estate committee files, deal write-ups, portfolio overviews, leasing updates, merchandise plans, budgets, and occupancy reports.

Assist in lease plan/merchandise plan edits (Adobe) for prospects, landlords, and pitch meetings.

Assemble data for budgets (rents, sales, trends, etc.) and collaborate with Leasing and Asset Management teams on input.

Provide oversight to the VTS program, including onboarding new properties, training users, and making deal updates.

Maintain CBRE brand consistency by applying templates to produce marketing materials, including fliers, proposals, tour books, maps, floor plans, and qualification packages.

Coordinate complex on/offsite meetings and conferences, manage calendars, arrange travel itineraries, and make meeting room reservations.

Update and maintain various information databases, generate reports, and assist with website updates as needed.

Coordinate advertising schedules and placement with local centralized marketing group.

Track and maintain inventory of marketing materials.

What you'll need

An associate degree (A.A.) or equivalent from a 2-year college.

3+ years of experience providing administrative support to multiple professionals.

The ability to determine and respond to conflicting priorities.

2 years of experience in the Real Estate industry.

Proficiency in MS Office (Word, Excel) and Adobe Suite (Acrobat Pro, Illustrator, Photoshop). Familiarity with the VTS online leasing platform is preferred.

The ability to manipulate basic templates in PowerPoint and/or InDesign, Excel, and Adobe. Strong marketing knowledge is needed.

Knowledge of financial terms and principles, including the ability to calculate intermediate figures such as percentages, discounts, and commissions.

Basic financial analysis skills and the ability to abstract a lease.

Strong analytical and quantitative skills, with the ability to comprehend, analyze, and interpret documents.

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Client Services Coordinator position is $75,000 annually and the maximum salary for the Client Services Coordinator position is $85,000 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
