Job DescriptionThe Administrative Assistant performs advanced and diversified administrative and clerical support for the Sr. Director, Construction and Property Admin, Hartford Hub, and his/her leadership team. This individual will be entrusted with handling sensitive and confidential matters and perform support functions which require a broad and comprehensive knowledge of company policy and procedures. They also structure and organize activities to facilitate the efficient operation of the department. The position is most suited for an individual who can handle multiple tasks and work quickly and effectively to organize data and meet deadlines. Complete confidentiality and absolute discretion are mandatory for this position.Primary Duties will include, but are not limited to:- Calendar management for Sr. Director and department colleagues- Manage a large portfolio of contingent workers - onboarding, security access and compliance tracking- Manage customer/internal stakeholder mailbox to respond to questions regarding facilities and related concerns- Work with multiple related organizations to support ongoing needs and special projects, including but not limited to Workplace Strategy, Finance, Information Management- Coordinate ordering of supplies for department and WFH colleagues- Creation, Review, Refinement of Microsoft Office Documents (Excel, PowerPoint, etc.)- On-boarding all new employees to the team, ordering laptops, software, hardware, cell phones, etc.- Managing and ordering office supplies, etc.- Submit IT requests and work with IT to resolve issues as needed - Submit HR requests and work with HR service center to resolve issues as needed- Filing, presentations and copying- Meeting coordination and support department communications - Maintain department organization charts- Attend meetings and record minutesRequired Qualifications--- 3+ years of administrative experience supporting a team--- 3+ years of experience with technical and security support--- 3+ years of Microsoft Office Suite experienceCOVID RequirementsCOVID-19 Vaccination RequirementCVS Health requires certain colleagues to be fully vaccinated against COVID-19 (including any booster shots if required), where allowable under the law, unless they are approved for a reasonable accommodation based on disability, medical condition, religious belief, or other legally recognized reasons that prevents them from being vaccinated.
