Job DescriptionSalary: Job Title: OFFICE MANAGER To Be Hired, FTReports To: Director of Strategic Development Hourly Non-ExemptPosition Summary:This position provides a variety of secretarial and administrative support functions to support the Administrative Team (Executive Director, Director of Strategic Development, Finance & HR Manager, Contracts Manager) and Board of Directors.Qualifications:

  • Associates degree and up to 2 years' experience working in the nonprofit sector or an equivalent combination of education and experience preferred
  • Ability to handle constant change in a fast-paced environment and be able to deal with multiple people and various situations simultaneously
  • Strong organizational skills, follow-up skills, and attention to detail
  • Professional business telephone techniques
  • Ability to proofread and correct grammatical, punctuation and spelling errors
  • Proficiency with MS Office 365 (Word, Excel, Outlook, Publisher, PowerPoint), the Internet and calendar functionality
  • Knowledge of operating office equipment such as copier, printer, fax and phone system
  • Ability to perform duties without immediate and constant supervision
  • Bi-lingual/bi-cultural (English/Spanish) (preferred)Physical Requirements:While performing the duties of the job, the position is frequently required to stand, walk, sit, some lifting, carrying, pushing or pulling (up to 40 pounds).Nature and Scope of the Position:This position provides administrative and development services in a fast-paced environment with a demanding workload and shifting priorities.Environmental and Working Conditions:General office environment. This position regularly works with agency administrators and staff that provide services to clients who are experiencing homelessness. There is also interaction with board members and community stakeholders. Handles confidential and proprietary information.Job Responsibilities:
    • Maintain constituent relations/development database; produce and mail acknowledgement letters in a timely fashion
    • Assists in the development and implementation of development plan; including annual appeals and special events
    • Special event organizational and backend support
    • Assists in the development and implementation of donor-centric communications (e-newsletter, print newsletter, annual report)
    • Completes ongoing website updates
    • Compose and prepare routine correspondence for signature
    • Independently prepare recurring reports for review and signature
    • Arranges for meetings and conferences
    • Attends Board Meetings and prepares minutes post-meeting
    • Proofreads and corrects grammatical, punctuation and spelling errors
    • Manages schedules and appointments when requested
    • Maintains files as directed
    • Processes daily mail
    • Orders and distributes necessary office supplies and equipment
    • Operates office machines and instructs others in operating same
    • Run errands, including banking
    • Assists with processing staff fund requests
    • May assist with shelter food group relations including scheduling
    • Provides general clerical support to the administrative team
    • Other duties as needed/assigned
