Executive Liaison, Direct Private Investments (DPI)Full-Time, Remote - USThe OpportunityWe are looking for an Executive Liaison that will take the initiative and operate in an autonomous way, serving as a proactive, organized administrative partner to the Head of Direct Private Investments (DPI) and the DPI leadership team. If you are a highly experienced administrative professional with substantial flexibility and agility to ensure seamless operational flow of meetings, events, and activities across a growing international team with evolving and rapidly shifting needs and priorities, this role might be the perfect opportunity for you!The TeamThe Direct Private Investments team is a newly created team within MassMutual Investment Management (IM)s Alternative Investments group. It focusses upon customized proprietary secured loans to major investment organizations backed by a range of assets. IM manages the asset allocation and asset liability management for MassMutuals $220 billion General Investment Account (GIA). IM monitors and oversees the performance of both affiliated and unaffiliated managers for the GIA and directly selects certain opportunistic and strategic Alternative Investments for the GIA.The ImpactAs the Executive Liaison, you will possess the ability to multitask and support multiple leaders as needed (including in backup support and on an ad hoc basis, demonstrating the ability to quickly pivot). Additionally, you will exercise strong judgement in engagement with various teams, serving as a positive, constructive member of the DPI team, and setting a stellar example as a MassMutual employee.Responsibilities include but are not limited to:

  • Event Coordination : Own end to end processes for all DPI-led events such as quarterly report out meetings, team off-sites, borrower events and others. Coordinate all logistics, including catering, and on-site coordination.
  • Bi-Weekly Huddle Administration : Prepare for and administer weekly DPI Huddles manage the collection and distribution of agenda items, capture and ensure swift follow-up on action items.
  • Organizational, Presentations, Charts and Communications : Maintain and update organizational charts and processes in partnership with Head of Direct Private Investments and leadership team; play an active role in the drafting, coordination/planning of DPI presentations and announcements, bringing appropriate parties together from across the business to drive workstreams to completion; maintain files that are easily accessible post-event.
  • Create or assist with high-visibility presentations, spreadsheets, templates
  • Create first drafts of presentations using previous slides or creating new versions as needed
  • Draft correspondence on behalf of leader or department, including Org Announcements.
  • Build high-quality PowerPoint presentations for DPI team to deliver to various audiences in a timely manner -- proofed for typos and delivered in MMs custom branded format, etc.
  • Calendar Management : Manage a dense calendar by demonstrating exceptional agility and responsiveness in proactively working with stakeholders to understand conflicting priorities and being flexible in rescheduling to accommodate shifting priorities; Complex meeting support includes meetings with SLT, ELT and outside vendors or large groups; Calendar management (accept/decline as appropriate, schedule meetings/rooms);Assist with calendar management and travel arrangements for larger and more senior meetings for direct reports of Head of Direct Private Investments
  • Other Administrative Responsibilities including onboarding meetings and materials for new employees, prepare and submit expense reports for Head of DPI and direct reports, and and assist with direct report automated system access reviews.The Minimum Qualifications
    • Bachelors degree
    • At least 8 years of experience working as an Executive Assistant/Liaison, or similar function supporting executive or senior management, in the financial services industry
    • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
    • Excellent communication and interpersonal skills to work in a fast paced, team environment
    • Strong organizational skills with the ability to prioritize
    • Strong attention to detailThe Ideal Qualifications
      • 10+ years of experience working as an Executive Assistant/Liaison, or similar function supporting executive or senior management, in the financial services industry, preferably in an investment management business
      • Familiarity of the roles, responsibilities and motivations of the primary participants in the investment management business
      • Ability to work closely with portfolio managers, senior management, operations teams, internal legal counsel and outside legal professionals supporting program
      • Experience with Concur and other financial applications*Salary range for this position is $71,800 - $114,600 annual commensurate with experience.
